After the race · Chief judge, recorder, administrator
Summary sheet export
Export summary sheet downloads the completed World Athletics Electronic Summary Sheet workbook, filled in from the race: every judge's cards with times and offences, penalty zone times, disqualifications and places. It's the official form, not a lookalike. Only the values are written in, so its formatting and check formulas work exactly as designed.
Where to find it
- Chief judge or recorder: Export summary sheet in the top bar of the board.
- Administrator: on the race screen in administration.
It downloads straight away as an .xlsx file named after the race. You can export
as often as you like, before or after the race is closed. Nothing is stored or used up.
What's filled in
| Part of the sheet | Comes from |
|---|---|
| Meet and race name, and date | The meet and race set-up |
| Judges' names and countries in their numbered columns | The panel (frozen onto the race when it's closed) |
| Yellow paddle times | The judges' paddles |
| Red card times with offence symbols (~ / <) | The judges' red cards, after any corrections and voids |
| Penalty zone in and out times | The zone official's stamps, as corrected by the recorder |
| Chief judge disqualifications, with rule reference | TR 54.4.1 disqualifications |
| DQ notification times | The Notify / Set times on the board |
| Places | The recorder's Places list |
| Chief judge, recorder and assistants | The meet's officials |
| Your logo, top-left on every page | The organisation's or meet's logo, if one has been uploaded |
The right workbook is chosen for you. A penalty zone race uses the Electronic Summary Sheet with the zone columns; a DQ-only race uses the No Penalty Zone version. The race's mode decides; you don't pick.
Before the final export
The closing checklist covers most of this, but it's worth a last look:
- Places are entered for every finisher.
- Every disqualified athlete has a notification time.
- Any late cards have been confirmed or discarded.
- The recorder has ticked off the paper cards and corrected anything that didn't match.
- The race is closed, so the panel on the sheet is fixed as it stood on the day.
Then export, and file it or send it on as your federation requires.
Opening it in Excel
- Judges' names print rotated in the header row of every page. The row is made tall enough for the longest name on your panel, so nothing is cut off.
- Athletes' names are aligned left in their column.
- Everything else in the workbook (fonts, borders, print settings, formulas) is exactly as the federation designed it.
Things to know
- Eight judge columns. The official form has room for eight judges. A ninth judge (TR 54.3.4) is recorded correctly in the system and appears in the JSON export, but has no column on the sheet.
- The panel is frozen when the race closes. After that, correcting an official's name in the registry doesn't change this race's sheet. To pick up a correction, the chief judge can reopen the race (giving a reason) and close it again, which freezes the panel afresh.
- Judge numbers can't move once cards exist. A judge who has given cards in a race keeps that number in it, so the columns on the sheet never shift under the cards.
- Export before erasing. After a race's personal data is purged, the sheet shows Athlete 41 and judge numbers instead of names. See GDPR & erasure.
Other exports
| Export | Where | What it's for |
|---|---|---|
| Judge record sheets (PDF) | Board top bar; race screen in administration | The paper each judge carries: the World Athletics Race Walking Judge Record, one set per judge, with the bibs printed down it. Print before the race. |
| Export data (JSON) | Race screen in administration | A complete machine-readable copy of the race, for archiving or answering a subject-access request. Includes a ninth judge. |
When something goes wrong
| You see | What to do |
|---|---|
| All the totals are zero | Click Enable Editing in Excel. |
| A judge's name is wrong on the sheet | Correct it in the officials registry, then reopen and close the race again so the panel is frozen afresh. Export again. |
| A card time or offence is wrong | The recorder corrects it on the board (or in the Penalties panel after closing). Export again. |
| Chief judge, recorder or assistants are missing | They come from the meet. An administrator fills them in on the meet, then export again. |
| Names show as Athlete 41 | The race's personal data has been purged. This can't be undone; use a copy exported earlier. |
| The logo is too big or too small | An administrator changes Size on the summary sheet on the logo settings. It applies to the next export. |
