Import from Roster Athletics
If the meeting is run in Roster Athletics, you don't need to type in the races or the fields. Export two files from Roster, and the system creates every walking race in the meet, with names, distances, start times and start lists, in a couple of minutes.
What you need

Both are the CSV files Roster exports. The start list usually comes later, once Roster has published it. You can import the schedule now and the start list afterwards.
You also need an administrator login, and a meet already created to import into (with its timezone set).
Step by step
- In administration, open the meet.
- Beside Races in this meet, press Import from Roster Athletics…
- Choose the Schedule export (required) file, and the Start list export (optional) file if you have it.
- The system reads both and lists the walking events it found: anything
Roster codes as a walk (
5000W,10000W,20kmW) or names as one. Everything else in the files is ignored, and it tells you how many events it skipped. - Tick the events you want. Every walk starts ticked, except any already imported into this meet.
- For each event, check the details and edit the race name if you like. It's filled in as, for example, Women 10000m Race Walk, with the age group added when it isn't Senior. You'll also see the date, start time, distance, how many athletes were found, and the first few names, so you can tell at a glance it's the right event.
- Set the three options below.
- Read any warnings, then press Import.
Nothing is created until you press Import, and anything left unticked isn't touched.
The three options

Warnings to watch for
Before anything is written, the dialog reports what looks wrong:
- Two races on the same day that would share numbers. This is the important one. Numbering by start order makes every race 1, 2, 3…, which is fine when races run one after another. But if two races are under way at the same time, a judge who types a number shared by both would be asked which race it belongs to. If your races overlap, import by bib number, or renumber one of the fields afterwards.
- A walker in the start list whose event isn't in the schedule.
- An entry count that doesn't match between the two files.
- No bib numbers in the start list when you've chosen to number by bib.
No start list yet?
Import the schedule on its own. Each race is created with its field numbered 1, 2, 3… up to the schedule's entry count, named Athlete 1, Athlete 2 and so on. That lets you set up the panel and print judge record sheets in advance. When the start list is published, run the import again (below), or type the names in on the race.
Importing again
The system remembers which Roster event each race came from, even if you've renamed it. Run the import again and those races are marked already in this meet, with two choices:

Replace is refused once any card has been given in that race, because removing an athlete would take their cards with them. Correct those races athlete by athlete on the race screen instead.
What the import never changes
- The meet's own details: name, venue, timezone, officials' names
- The judging panel
- Any race you didn't tick
After importing
- Check each race: name, distance (it sets the penalty zone time), start time (24-hour) and mode.
- Check the fields: numbers, names and affiliation. Anything can be corrected on the race.
- Assign the panel for the meet.
- Print the judge record sheets once the panel and fields are final.
When something goes wrong
