Register officials & PINs
Every official (judge, chief judge, recorder, penalty zone) is registered once and gets a code and a 6-digit PIN. Those two things are their whole login, for life: at every meet, in every position, for every organisation.
Adding an official
- Sign in to administration and open the Officials tab.
- Under Add an official, fill in:

- Write down the PIN. It's shown once, on screen, and can't be looked up later. Hand it to the official privately.
Beside the PIN you'll see one of two tags:
- emailed: the code and PIN went to their address too.
- not emailed: they didn't. Hover over it to see why; usually there's no address on file, or email isn't set up on this system.
The PIN appears on screen either way, because that's what works when someone is standing in front of you ten minutes before a race.
Managing officials
The registry lists every official with their code, name, country, email, how many meets they're on, and a status: active, inactive or LOCKED. Beside each one:

Why the split? Anything that can stop a judge signing in (a new code, a new PIN, removal) is a competition problem at a meet, so only a superadmin can do it. Fixing a misspelt name or clearing a lockout only ever helps, so any administrator can, including at the start line. Every change is recorded in the audit log.
Forgotten PINs
If they have an email address on file
They can sort it out themselves:
- On the login screen's Official tab, they tap Forgotten your PIN?
- They type their code, or the email address their PIN goes to, and send.
- A link arrives by email. It works once and expires after two hours.
- Opening the link and pressing the button issues a new PIN, shows it on screen, and emails them the code and PIN again.
- Asking for the link changes nothing. Their current PIN keeps working until they press the button on that page. That way nobody who knows a judge's email address can knock them out of a race by requesting a reset.
- The screen always says "If that matches a registered official, a link is on its way.", whatever was typed. That stops strangers using the login screen to find out who judges for you. If nothing arrives, check their address is on file and that they're still active.
If they don't
A superadmin uses Reset PIN and gives them the new one.
Lockouts
Five wrong PINs in a row lock that official's account for 15 minutes. It's per account, not per network, so one judge fumbling their PIN never affects the rest of the panel on the same venue WiFi. To let them straight back in, any administrator presses Unlock.
Handing out logins
- Give each official their code and PIN privately: in person, or by the automatic email.
- They keep the same code and PIN for every future meet, so they only need telling once.
- Point them to Judging on your phone or Running the penalty zone.
- Registering someone doesn't put them on a panel. That's the next step: assigning the panel for the meet.
Administrator accounts are different
Administrators sign in with an email and password, not a code and PIN, and their password is never emailed. In the Accounts panel on the System tab:
- Email reset link: they choose their own password from a link that works once and expires after two hours. A new account is sent one automatically.
- Set password: you type one in for them, which signs them out everywhere. Use it when email isn't working. They're told it changed, never what to.
When something goes wrong
